How I rebuilt the entire lead-to-invoice journey for an Australian building & pest inspection company, replacing manual quoting, scheduling, and follow-up with an automated GoHighLevel CRM that runs itself in the background.
The business ran on a handwritten calendar, an email inbox, and a lot of repeated typing. Every enquiry meant manually working out a price, replying by hand, arranging a time, chasing the selling agent for property access, raising an invoice, and remembering to ask for a review afterwards.

A web form feeds every lead straight into the CRM with full property details. No inbox, no re-typing.
The property's postcode is checked against a service-area matrix and priced for travel distance, or routed elsewhere if out of area.
A points-based engine scores the property on size, age, condition and access, and produces a precise quote in seconds.
The one decision that stays human. The owner reviews and approves from their phone before anything is sent.
The client receives a branded quote, automatically presenting the combined-service upgrade alongside the single service.
Confirmation fires the moment a booking is set, tailored to whichever inspector is assigned to the job.
The client is automatically sent a pre-filled engagement agreement for e-signature, with property and booking details merged in and signing status tracked.
The moment a booking is confirmed, a webhook creates a fully-formatted tax invoice in Xero, GST calculated, line items and payment details populated straight from the CRM record.
When the Xero invoice is marked paid, the status syncs back into GoHighLevel automatically, advancing the pipeline and clearing the job for its report with zero manual reconciliation.
A Google review request goes out automatically after the job closes, building the business's reputation on autopilot.
The build combined a configured CRM with custom logic where off-the-shelf features stopped short.

Every serviceable postcode mapped to a travel band, with clean handling for out-of-area and referral cases.
A two-way bridge built with Zapier and webhooks: GoHighLevel triggers automatic invoice creation in Xero, and Xero's paid status syncs straight back to advance the CRM pipeline.
A full pre-engagement agreement built into the CRM, auto-populated with each client's details and signed digitally, with status tracked.
Acknowledgement, quote, booking, agreement and review emails, all templated, triggered and on-brand.
Where the platform couldn't natively match records, I wrote custom code against the API to solve it properly.
The whole operation runs from the owner's phone: approve, book, and manage jobs from any site.
This wasn't a hand-it-over-and-hope build. I worked in tight feedback loops: shipping the core system, going live in a controlled parallel run alongside the old process, then resolving real-world issues fast as genuine leads came through.
Every pricing rule, postcode band and email was verified against the client's actual requirements rather than assumed, and where a platform limitation appeared, I found a route through it instead of dropping the requirement. The result is a system the owner trusts, because it does exactly what their business already does, just without the manual work.
