10 GoHighLevel Automations Every Service Business Should Have

By Arslan Mumtaz, software engineer and GoHighLevel & AI automation specialist

Most service businesses use a fraction of what GoHighLevel can do. These are the 10 automations I build most often, the ones that recover missed leads, cut no-shows and bring customers back, with real results from my case studies.

1. Missed-call text-back

Every unanswered call gets an instant text asking how you can help, with a booking link, before the caller tries a competitor. It's the highest-return automation in almost every build. In my HVAC build, 89% of missed calls were recovered. How I build it →

2. Instant response to web enquiries

Every form submission gets an SMS and email reply within minutes, ideally with a qualifying question or booking link. For the law firm I built this for, it led to 3.2x more booked consultations. Law firm case study →

3. Appointment confirmations and reminders

A confirmation when someone books, then reminders before the appointment (for example 48 hours and 2 hours out), each with a one-tap way to confirm or reschedule. My dental build cut no-shows by 27%. Dental case study →

4. Cancellation waitlist fill

When someone cancels, the next person on the waitlist is automatically offered the slot, so the calendar fills itself instead of sitting empty.

5. Quote follow-up

Quotes that don't get an answer trigger a short follow-up sequence: a check-in, a helpful message, a final nudge. Most businesses send a quote once and never chase it.

6. Review requests after every job

Once a job or visit is complete, a review request goes out automatically, timed for when the customer is happiest. My restaurant build saw 4.8x more Google reviews a month. Restaurant case study →

7. Recall and reactivation

Customers due for their next check-up, service or treatment get a recall message on time, and anyone who has gone quiet gets a reactivation sequence. My veterinary build calculates each pet's next due date automatically. Recall guide →

8. One-off to recurring upsell

After a first job, customers get a thank-you message, then an offer to move onto a recurring plan a few days later. For the cleaning company, 38% of one-off cleans became recurring contracts. Cleaning case study →

9. Inactivity and churn alerts

If a member or client stops showing up (for example no check-in for 14 days), the system sends a personal re-engagement message and flags them to your team, before they cancel. My fitness studio build pairs this with a win-back sequence for people who do cancel. Retention guide →

10. Job-complete invoicing

Marking a job complete on a phone in the field automatically creates and sends the invoice, with no paperwork back at the office, and can trigger the review request too. HVAC case study →

What to build first

If you're starting from scratch, build in this order:

  1. Capture: missed-call text-back and instant enquiry response (1–2)
  2. Keep: confirmations, reminders and waitlist fill (3–4)
  3. Grow: review requests, recall, upsell and churn alerts (6–9)

The first group recovers money you're already losing, so it usually pays for everything after it.

Three things that make these work

Want these built for you?

I build these automations in GoHighLevel, with custom code for anything the platform can't do natively. Single sequences start at $149, and full systems at $997. If you're not sure where to start, a $97 audit shows which of these will pay off fastest for your business. See pricing or my GoHighLevel VA plans.

Still losing leads to voicemail or slow follow-up?

I build speed-to-lead, retention and AI automation systems in GoHighLevel, with custom code where the platform falls short.
