GoHighLevel Voice AI is an AI agent that answers and makes phone calls for your business: it greets callers, answers questions, books appointments and hands over to a person when needed. This guide covers how to set up an inbound AI receptionist, how outbound Voice AI calls work from workflows (and their limits), the rules you must follow, and when a custom voice agent built with Vapi or Retell is the better choice.
1. What GoHighLevel Voice AI can do
Voice AI lives under AI Agents → Voice AI. Each agent has a voice, language, prompt, welcome message and knowledge base, and can take these actions during a call:
- Appointment booking: offers times from your calendar and books the slot.
- Call transfer: sends the caller to a human phone number.
- Update contact field: saves what the caller said (job type, budget, address) to the CRM.
- Send SMS: texts a link or confirmation during the call.
- Trigger a workflow: starts any GoHighLevel workflow, such as a follow-up sequence.
- Agent transfer: hands the call to another Voice AI agent, for example from a general receptionist to a booking agent.
After each call you get the recording, transcript, summary and the actions taken, so you can check what the agent did.
2. Setting up a GoHighLevel AI receptionist (inbound calls)
- Create the agent: AI Agents → Voice AI → Agent List → + Create Agent. Pick a voice, language and time zone.
- Write the prompt: the agent's role, what it must collect, what it can answer, and when to hand over. Be specific: "Collect name, address and whether it's an emergency. Never quote prices. Transfer anything about billing."
- Add a knowledge base with your services, service area, hours and FAQs, so answers come from your information, not the model's guesses.
- Turn on the actions it needs: usually appointment booking, update contact fields and call transfer.
- Assign a phone number and choose Answer Calls Directly (the AI picks up every call) or Use as Backup (it answers only when your team doesn't).
- Set availability: all hours, or a custom schedule such as evenings and weekends only.
- Test with web calls and real phone calls, including awkward ones: angry callers, wrong numbers, people who only want a price.
My recommendation for most service businesses: start with Use as Backup and after-hours coverage. Your team still takes calls they can answer, and the AI catches the ones that would otherwise go to voicemail. Pair it with missed-call text-back for anyone who hangs up.
3. GoHighLevel outbound Voice AI calls
Outbound calls are placed by the Voice AI Outbound Call workflow action. When a contact reaches that step, the call is scheduled with the agent and phone number you chose. Typical uses: calling new web leads within minutes, confirming appointments, reactivating old leads, and following up on quotes.
HighLevel's help docs list these limits:
| Limit | Value |
|---|---|
| Calls per location per day | Up to 5,000 |
| Call rate | Up to 10 calls per minute per location |
| Same number | Once a day, and up to 14 times in 14 days |
| Calling hours | 8:00 AM to 8:00 PM in the contact's time zone (based on their number) |
| Destinations | Same-country domestic numbers only |
Before the first call, you accept HighLevel's outbound calling terms inside the action, and the location may need verification. The dashboard then shows attempted and connected calls, voicemails, sentiment and which workflow placed each call.
4. The rules: consent comes first
HighLevel says it does not check consent before placing outbound AI calls. Accepting its terms doesn't give you consent for any contact; that's your responsibility. In practice:
- United States: the FCC treats AI-generated voices as "artificial voice" under the TCPA, so calls need the person's prior express consent, and marketing calls need prior express written consent. Put clear consent wording on your forms.
- United Kingdom and EU: automated marketing calls need prior consent under PECR and GDPR. See GoHighLevel GDPR for the UK and EU.
- Australia: follow the Do Not Call Register and telemarketing rules on calling hours and identification.
- Everywhere: the agent should say who it is calling for, and honour "don't call me again" straight away by tagging the contact and removing them from call workflows.
This isn't legal advice; check the rules for your market before running outbound campaigns.
5. What does Voice AI cost?
Voice AI is part of GoHighLevel's AI Employee add-on and is billed per minute on pay-per-use, or included up to a limit in the monthly AI Employee bundles. Rates and what each plan covers (inbound and outbound) change, so check the AI Employee pricing in your agency's billing settings. Phone-carrier minutes are charged on top. For a typical small business answering after-hours calls, the cost is usually far below a part-time receptionist, but test real call lengths before you commit.
6. GoHighLevel Voice AI vs Vapi or Retell (custom voice agents)
| GoHighLevel Voice AI | Custom agent (Vapi, Retell) | |
|---|---|---|
| Setup | Inside GoHighLevel, no code | Built and hosted separately, connected by API and webhooks |
| Best for | Receptionist, booking, simple qualification, follow-up calls | Complex conversations, multi-step logic, custom tools, other languages or models |
| CRM access | Native: calendars, fields, workflows | Through the GoHighLevel API |
| Control | Prompt, knowledge base and built-in actions | Choice of model, voice provider, latency tuning and any function you can code |
| Maintenance | HighLevel maintains it | You maintain the integration |
A typical Vapi outbound calling and GHL integration works like this: a GoHighLevel workflow sends the contact to Vapi through a webhook, Vapi places the call, and when the call ends Vapi sends the transcript and outcome back to update fields, move the opportunity or start the next workflow. Choose this when the built-in agent can't handle the conversation you need. For most receptionist and booking jobs, start with GoHighLevel Voice AI.
7. Tips that make voice agents work
- Keep the first sentence short and say it's an assistant. Long greetings make people hang up.
- One goal per agent. A booking agent and a support agent work better than one agent doing everything; use agent transfer between them.
- Always offer a human. Transfer on request, on complaints and on anything the knowledge base doesn't cover.
- Review 10 call transcripts a week at first and update the prompt and knowledge base from what goes wrong.
- Log the outcome to the CRM (booked, not interested, call back) so workflows can follow up correctly.
Voice AI works best on top of solid automation. See the GoHighLevel AI automation guide and Conversation AI setup for text.
