GoHighLevel for Gyms: Trial Conversion and Member Retention

Arslan Mumtaz

By Arslan Mumtaz, Senior CRM Developer and founder of Arslan Automates

Gyms and fitness studios lose members quietly. Trial sign-ups don't get a reply in time, members stop coming weeks before they cancel, and cancelled members are never contacted again. These are the GoHighLevel automations I built for a fitness studio to fix all three, with the results and the messages, while coaching and sales stay human.

The results first

1. Instant trial and lead response

Trial enquiries from ads, your website and social media get a reply within a minute, with the first class or orientation already offered:

Hi {{contact.first_name}}, welcome to {{business_name}}! Your free trial
is ready. Your first session: {{appointment.start_date}} at
{{appointment.start_time}}. Bring water and a towel. Questions? Just reply.

Speed matters more in fitness than almost anywhere, because the motivation to start fades fast. See speed-to-lead in GoHighLevel.

2. A trial follow-up sequence

Across the trial: a reminder before each class, a check-in after the first session, a nudge if they haven't booked their second, and a membership offer before the trial ends. No-shows get one friendly reschedule message.

3. The sales conversation stays human

The coach or manager runs the orientation and the membership conversation. The system just makes sure every trial gets there: it alerts staff when a trial member books, shows up or goes quiet, and creates a task to call before the trial ends.

4. New member onboarding

New members get a short sequence over the first few weeks: how to book classes, app setup, what to expect, and a check-in after week one. The first month is when habits form, and when most early cancellations happen.

5. Inactivity alerts (the retention engine)

Members usually stop coming weeks before they cancel. When a member hasn't checked in for 14 days, they get a personal check-in, and the coach gets a task:

Hey {{contact.first_name}}, we haven't seen you in a couple of weeks
and wanted to check in. Busy stretch? Here's this week's timetable if you
want to jump back in: {{booking_link}}

This needs check-in data. GoHighLevel doesn't track gym attendance itself, so it comes from your gym software (see below). In this build, 18 members a day were flagged before they drifted away.

6. Renewals and failed payments

For fixed-term memberships, renewal reminders start before the end date, with an offer to re-commit early. For failed payments, a friendly message with a link to update the card goes out the same day. See payment errors and failed renewals.

7. Cancellation win-back

When someone cancels, ask why (one question, no pressure), then send a win-back offer a few weeks later:

Hi {{contact.first_name}}, it's {{business_name}}. We'd love to have you
back. Come back this month and your first month is {{offer}}.
Reply YES and we'll set it up.

More on bringing customers back in turning one-off customers into recurring revenue.

8. Reviews and referrals at milestones

Ask for a review when a member hits a milestone, such as their first month or 20th class, when they're most engaged. Add a referral offer ("bring a friend free") at the same time. See Google review automation.

GoHighLevel vs gym software (Mindbody, Glofox, PushPress)

Gym management software runs class booking, check-ins, memberships and billing. GoHighLevel is stronger at marketing and retention: lead response, trial follow-up, inactivity alerts, win-back and reviews. Many gyms use both. Some gym platforms offer a GoHighLevel connection; others connect through Zapier, n8n or their API, sending check-ins and membership changes into GoHighLevel. See GoHighLevel with n8n and Zapier.

Texting rules

US gyms texting from local numbers need A2P 10DLC registration, with SMS consent on trial and sign-up forms. UK and Australian gyms: see GDPR and PECR and the Spam Act.

What to build first

  1. Instant trial response and the trial follow-up sequence.
  2. Inactivity alerts (once check-in data flows in).
  3. Failed payment and cancellation win-back messages.
  4. Onboarding, renewals, reviews and referrals.

Frequently asked questions

Can GoHighLevel sell gym memberships online?

Yes, with payment links and subscriptions through Stripe. Many gyms still keep membership billing in their gym software and use GoHighLevel for marketing and follow-up.

Can I run a bring-a-friend referral campaign in GoHighLevel?

Yes. Give members a referral link or form, tag referred leads to the member, and send both people a reward or thank-you automatically when the friend joins.

Can GoHighLevel track gym check-ins?

Not by itself. Check-in and attendance data comes from your gym software, through a direct connection where the platform offers one, or through Zapier, n8n or the platform's API.
