Most law firms don't lose cases to better lawyers. They lose them to faster ones: the firm that calls back first usually gets the consultation. Here's how I automated client intake in GoHighLevel for a law firm, and the results it produced, without automating any legal judgment.
The results first
- 3.2x more consultations booked after switching to instant lead response
- 16 leads a day qualified and routed to the right attorney automatically
- Under 5 minutes from lead submitted to first personalised response
- 31% more signed retainers from automated follow-up on undecided prospects

1. Instant response to every enquiry
Web enquiries used to sit in an inbox until someone had a gap between meetings. Now every web form or missed call triggers an instant SMS and email, before the prospect has time to contact a second firm.
2. Qualification and attorney routing
A short qualifying flow captures the matter type and routes the lead to the right attorney or practice area automatically. Partners stop triaging enquiries by hand, and prospects reach someone who handles their kind of case.
3. Consultation self-booking
Prospects book their own consultation from live availability, with reminders confirming it ahead of time. No more phone tag to find a slot.
4. Conflict-check notification
Every booked consultation notifies the attorney to run a conflict check before the meeting. GoHighLevel couldn't flag a potential conflict against existing client records natively, so I built that check with custom code. The decision itself stays with the attorney.
5. Fee agreements by e-signature
Once the attorney confirms the engagement, a pre-filled fee agreement goes out for digital signature, with its status tracked automatically. No more emailing attachments and chasing signatures.
6. Follow-up for undecided prospects
This is where most firms leave the most money on the table. Prospects who don't sign on the spot used to go quiet. A structured follow-up sequence keeps the firm in touch, and in this build it lifted signed retainers by 31%.
7. Onboarding and document collection
Signed clients are guided through a document checklist automatically, with reminders for anything outstanding. Paralegals stop chasing documents one by one.
8. Review requests when a matter closes
A review request goes out when a matter closes, on a schedule the firm controls per practice area, because timing matters more in some areas of law than others.
What stays human, and why it matters
Client trust is the whole business model in law. In this build, attorneys still assess every matter and decide whether and how to take it. The automation handles speed, scheduling, paperwork and follow-up. The qualification and routing rules also ran silently against real leads for two weeks before a single automated message went out, so the firm could check every decision first.
Professional rules to respect
- Keep confidential matter details out of texts and emails, and use them only to arrange next steps.
- Never let automated messages promise outcomes or give legal advice.
- Check that marketing messages follow your bar or regulator's advertising rules, as well as consent rules for texting.
What to build first
- Instant response and attorney routing (1–2), the biggest and fastest win
- Self-booking, conflict-check notifications and e-signature (3–5)
- Undecided-prospect follow-up, onboarding and reviews (6–8)
