GoHighLevel for Med Spas: 8 Automations That Fill Your Treatment Calendar

Med spas don't usually struggle to get interest. They struggle to turn enquiries into consults, consults into treatment plans, and one-off treatments into loyal clients, while the front desk juggles phones between appointments. 1. Digital intake that feeds the CRM

Paper or PDF intake forms mean retyping everything. A branded digital form collects client details and treatment interest and feeds them straight into the contact record, then triggers the next step automatically.

2. Consult self-booking with treatment-aware calendars

Clients book their own consult from live availability. Behind the scenes, buffer times and practitioner assignment are set per treatment type, so the calendar never double-books a room, a device or a practitioner.

3. Treatment plan and package quote

The practitioner runs the consult and recommends a plan. That stays human. Once they log the plan, a branded package quote with pricing options goes out automatically, while the client is still excited about the result they want.

4. Layered appointment reminders

One reminder isn't enough to protect a busy schedule. A multi-touch SMS and email sequence, tuned to the appointment type and with easy confirm or reschedule options, cut no-shows by 31% in this build.

5. Rebooking at the right interval

After each session, clients on a treatment plan are prompted to book their next visit at the interval that treatment needs, not a generic "come back soon" message. This keeps package clients on track instead of drifting between visits.

6. Memberships and package balances

Membership renewal dates and remaining package sessions live on the client record, and renewal offers go out before a membership lapses. In this build it replaced a spreadsheet nobody checked daily, so lapses were no longer caught weeks late.

7. Review requests timed to results

A Google review request goes out after a completed treatment, timed for when clients are happiest with their results. For aesthetics businesses, reviews and photos do a lot of the selling.

8. Reactivation for lapsed clients

Clients who haven't booked in a while get a personal reactivation sequence, with a seasonal or treatment-specific offer. My retention guide covers how to choose the right signal and timing.

A note on privacy

Med spas often handle health information. Keep detailed medical history out of texts and emails, use the minimum information needed in each message, and if your business handles protected health information in the US, check your HIPAA obligations and whether your setup supports them.
