In the UK, Europe, Australia, the Middle East and much of the world, customers would rather message a business on WhatsApp than fill in a form or wait for a call. This guide covers what it costs, how to set it up, the 24-hour rule that catches everyone out, and whether GoHighLevel can replace ManyChat.
1. How WhatsApp works in GoHighLevel
GoHighLevel connects to the official WhatsApp Business Platform (Meta's Cloud API). Once it's set up in a sub-account:
- WhatsApp chats appear in Conversations alongside SMS, email and social messages, on the contact's record.
- Workflows can send WhatsApp messages and react to replies.
- Conversation AI can answer WhatsApp messages.
- You can send pre-approved templates to start conversations.
It isn't the same as the WhatsApp Business app on your phone, though the two can now share a number (see section 3).

Message fees are Meta's rates, which vary a lot by country, and HighLevel passes them through the wallet. Agencies can rebill clients with a markup from 1x to 10x. Check the current rate card for the countries you message.
3. How to set it up
- Prepare a Meta Business account (business portfolio) for the business, with admin access. Business verification raises your limits and is worth doing early.
- Choose the number. You can use a new number, or keep an existing WhatsApp Business app number and use coexistence, which syncs chats between the phone app and GoHighLevel. A number on personal WhatsApp has to be moved off it first.
- In the sub-account, open Settings → WhatsApp, subscribe, and follow Meta's connection steps to link the business portfolio and number.
- Set the display name and profile (logo, description, website). Meta reviews the display name, so it should match the business.
- Create your templates and submit them for approval (next section).
- Test: message the number from your own phone, reply from GoHighLevel, and run a test workflow.
4. The 24-hour rule and templates
This is the part that breaks most WhatsApp automations. When a customer messages you, a 24-hour customer service window opens. Inside it you can send normal free-form messages. Outside it, you can only send an approved template.
- A workflow that sends a free-form WhatsApp message to someone who hasn't messaged you in the last 24 hours will fail.
- Templates are approved by Meta, per language, usually within minutes to a couple of days.
- In GoHighLevel you create Marketing or Utility templates. Utility covers transactional messages such as reminders and confirmations; anything promotional is Marketing, and Meta rejects templates in the wrong category.
- Templates use numbered variables you fill with contact or appointment data.

5. Opt-in and limits
- Get opt-in before messaging people first: a checkbox on forms that names WhatsApp, or the customer messaging you. Meta requires it, and in the UK and EU so does GDPR and PECR for marketing.
- New numbers have low daily limits on business-initiated conversations. They rise as you send messages people want and verify the business.
- Quality matters. If people block or report your messages, Meta lowers your quality rating and can restrict the number.
6. WhatsApp automations that work well
