GoHighLevel for Cleaning Businesses: 8 Automations for Recurring Clients

Arslan Mumtaz

By Arslan Mumtaz, Senior CRM Developer and founder of Arslan Automates

A cleaning business makes its money on recurring clients, not one-off jobs. The problem is that quotes take a phone call, crews get scheduled by group text, and a happy one-off customer is rarely asked to come back. These are the GoHighLevel automations I built for a cleaning company, with the messages, the results, and what to keep human.

The results first

1. Instant quotes from a property form

Guessing a price over the phone is slow and inconsistent. A quote form asks for property type, bedrooms, bathrooms, square footage and extras (oven, windows, deep clean, move-out), and a pricing rule calculates the quote. The customer gets it by text and email within minutes, with a link to book. Commercial enquiries can go to a "request a walkthrough" path instead, because offices usually need a site visit.

2. Missed-call text-back

Cleaners can't answer the phone mid-job. When a call is missed, an automatic text asks what they need and sends the quote form. Templates are in missed-call text message templates, and the setup is in missed-call text-back in GoHighLevel.

3. Self-booking for the first clean

Customers pick a slot from live availability, either a one-off clean or the start of a recurring plan. Calendar settings control service duration, travel buffers between jobs and how far ahead people can book.

4. Crew assignment stays human

Which crew suits which property and route is a judgment call, so the owner keeps it. The system just makes it easier: each new booking notifies the owner with the address and job details, and once a crew is assigned, the crew gets the job details by SMS or in the mobile app.

5. Reminders that cut same-day cancellations

Every clean gets a reminder the day before, with a one-tap reply:

Hi {{contact.first_name}}, a reminder that your clean is
tomorrow at {{appointment.start_time}}. Reply C to confirm or R to reschedule.

A reschedule reply alerts the office straight away, instead of the crew finding an empty house.

6. The one-off to recurring offer (the big one)

This is where most of the extra revenue came from. After a one-off clean, the customer gets a thank-you, then a few days later, while they're still enjoying a clean home, a recurring plan offer:

Hi {{contact.first_name}}, thanks for choosing {{business_name}}!
Most clients keep their home this fresh with a regular clean.
Weekly or fortnightly plans are {{discount}} off our one-off rate.
Want me to hold your usual slot? Reply YES and I'll set it up.

A YES reply creates the recurring booking and moves them to a "Recurring" pipeline stage. No reply gets one gentle follow-up, then stops.

7. Recurring cleans confirmed automatically

Recurring customers get a confirmation before each visit without anyone phoning them, and the office only hears about changes. This is what freed up the owner's evenings.

8. Reviews and reactivation

Hi {{contact.first_name}}, it's been a while since your last clean
with {{business_name}}. We have spring-clean slots open next week.
Want one? Reply with a day that suits you.

Residential, commercial and short-term rental cleaning

TypeWhat changes
ResidentialInstant quotes, self-booking and the recurring offer do most of the work.
Commercial / officeWalkthrough booking, proposals and contracts with e-signature, then scheduled recurring service.
Airbnb / turnoverCleans triggered by guest check-outs. See GoHighLevel for short-term rentals.

GoHighLevel vs cleaning business software

Tools like Jobber and ZenMaid are built for field service: crew apps, route planning, checklists and job-level invoicing. GoHighLevel is stronger at what happens before and around the job: lead response, quotes, follow-up, the recurring offer, reviews and reactivation. Many cleaning companies use both, connected so new bookings and completed jobs flow between them (see connecting apps to GoHighLevel). If you're a small team, GoHighLevel alone is often enough.

Texting rules

In the US, texting customers from a local number needs A2P 10DLC registration, and the quote form should include SMS consent. UK and Australian businesses have their own rules: see GDPR and PECR and the Spam Act.

What to build first

  1. Missed-call text-back and the quote form (you stop losing new enquiries).
  2. Reminders (you stop losing booked jobs).
  3. The one-off to recurring offer (you grow).
  4. Reviews and reactivation.

Frequently asked questions

Is GoHighLevel good for cleaning businesses?

Yes, for winning and keeping clients: instant quotes, fast replies to missed calls, self-booking, reminders, recurring plan offers, reviews and reactivation. For crew apps, route planning and job checklists, field-service tools like Jobber or ZenMaid are stronger, and many cleaning companies connect the two.

How do I get more recurring cleaning clients?

Offer a weekly or fortnightly plan a few days after a one-off clean, while the customer is happy with the result, with a small discount and a one-word reply to accept. In one GoHighLevel build this converted 38% of one-off cleans into recurring contracts.

Can cleaning businesses take card payments in GoHighLevel?

Yes. Send invoices or payment links by text and email, or save a card for recurring cleans, with payments processed through Stripe.
