Dental practices lose money in quiet ways: a new-patient call that goes to voicemail, an empty chair after a late cancellation, a treatment plan nobody follows up, a patient two years overdue for a check-up. These are the GoHighLevel automations I built for a dental clinic, with the messages, the results and the privacy rules to follow.
The results first
- 27% fewer no-shows after an automated confirmation and reminder sequence
- 11 appointments a day self-booked without a front-desk call
- Under 3 minutes from intake form to confirmed appointment
- 19% more revenue recovered from automated recall and reactivation

1. Answer every new-patient enquiry fast
A new patient is worth far more than one visit, and they often call the next practice if nobody answers (or let an AI receptionist answer). Missed calls get an instant text, and website and ad enquiries get a reply within a minute with a booking link. High-value enquiries such as implants, Invisalign or cosmetic work can go into their own follow-up sequence with a consultation offer. See missed-call text-back.
2. Digital intake instead of the clipboard
A branded form collects contact details and insurance information before the visit and feeds the contact record, so nobody retypes it. Keep detailed medical history in your practice management software or a HIPAA-covered form (see the privacy section below).
3. Self-booking by appointment type
Patients choose a slot from live availability, with separate calendars or appointment types for check-ups, cleanings, emergencies and consultations, each with the right length and provider. Emergency requests can alert the front desk instead of waiting for a slot.
4. Confirmations and reminders
A confirmation when booked, then reminders by text and email before the visit, with a one-tap reply:
Hi {{contact.first_name}}, a reminder of your appointment at
{{business_name}} on {{appointment.start_date}} at {{appointment.start_time}}.
Reply C to confirm or R to reschedule.Several touches work better than one. In this build no-shows fell 27%. A reschedule reply alerts the front desk straight away.
5. Fill cancellations from a waitlist
Patients who want an earlier slot are tagged as waitlist. When an appointment is cancelled, they get a text, and the first reply gets the slot:
Hi {{contact.first_name}}, a spot just opened at {{business_name}}
tomorrow at 2:30pm. Would you like it? Reply YES and it's yours
(first reply gets it).6. Follow up unscheduled treatment
Recommended treatment that never gets booked is one of the biggest sources of lost revenue in dentistry. When a follow-up is recommended but not booked, a short sequence reminds the patient, without mentioning clinical details:
Hi {{contact.first_name}}, this is {{business_name}}. Dr. {{dentist}}
recommended a follow-up visit at your last appointment and we haven't
booked it yet. Would you like us to find a time? Reply here or book:
{{booking_link}}After two or three messages with no reply, it creates a call task for the treatment coordinator instead of sending more texts.
7. Recall that doesn't depend on a recall book
Patients due for a check-up or cleaning are flagged automatically by their last visit date and sent a recall sequence, with reactivation for patients who have lapsed for a year or more. The full setup, timing and custom logic are in automated patient recall in GoHighLevel.
8. Reviews after good visits
A Google review request after a completed visit, timed for when patients are happiest. See Google review automation. Don't filter requests by satisfaction ("review gating"); Google's rules don't allow it.
Privacy: HIPAA and patient messages
- US practices: GoHighLevel isn't HIPAA compliant by default. HighLevel sells a HIPAA add-on with a signed BAA, which must be enabled per sub-account. Details in is GoHighLevel HIPAA compliant?
- Keep clinical detail out of texts and emails. "Your appointment" or "your recommended follow-up", not the procedure or diagnosis.
- Texting consent: US practices need A2P 10DLC registration and consent on forms. UK and EU practices should follow GDPR and PECR.
Connecting your practice management software
Your practice management software (Dentrix, Open Dental, Eaglesoft, Dentally and others) stays the record for clinical notes, charting and billing. GoHighLevel handles communication around it. To keep the two in step:
- An API connection where the software offers one (Open Dental has an API, for example), syncing appointments and last-visit dates.
- A third-party sync tool built for dental software.
- Scheduled exports of recall and unscheduled-treatment lists, imported into GoHighLevel.
See connecting any app to GoHighLevel for the options.
What to build first
- Missed-call text-back and fast replies to new-patient enquiries.
- Confirmations and reminders.
- Recall and unscheduled treatment follow-up.
- Waitlist fill, reviews and reactivation.
Similar builds for other clinics: chiropractic and physio, veterinary and med spas.

Frequently asked questions
Can GoHighLevel verify dental insurance?
No. Insurance verification stays with your practice software or verification service. GoHighLevel can collect the patient's insurance details before the visit.
Is GoHighLevel HIPAA compliant for dentists?
Not by default. HighLevel sells a HIPAA add-on with a signed business associate agreement that must be enabled for each sub-account. Even with it, keep clinical details out of texts and emails.
Does GoHighLevel integrate with Dentrix or Open Dental?
Not natively for most dental software. Practices connect them through the software's API where one exists (Open Dental has one), a third-party sync tool, or scheduled exports of recall and unscheduled-treatment lists into GoHighLevel.
